Reservations & Payments
A deposit of $500 per person or 10% of the tour cost (whichever is higher) is required to hold your space. Final payment is due 60 days prior to departure. If you book within 60 days of departure, the entire cost of your tour is due upon confirmation of your arrangements. Final documents are generally sent between 14-21 days prior to departure, provided full payment has been received.
Late Bookings & Changes
If you book within 60 days of departure, a nonrefundable “rush fee” of $50.00 per person will be assessed. Once your tour is confirmed, any changes you make 60 days or more prior to departure, are subject to a $50.00 per person change fee, plus any fees imposed on us by our suppliers. Changes made at 59 days or less before departure will be assessed actual penalties imposed on us by our suppliers, plus a $100.00 per person change fee.
Cancellations received 60 days or more prior to departure will be subject to a $500.00 per person administrative fee plus any fees imposed by suppliers; cancellations received 59-31 days prior to departure forfeit 50% of the total tour cost plus any excess fees imposed by suppliers; cancellations received 30 days or less prior to departure will forfeit 100% of the tour cost. If you cancel any portion of the tour while in progress, there is no refund for unused services. We strongly recommend UTG’s Trip Protection coverage to protect your vacation investment.
A Word About Airfares
The airfares used to create the tour prices are special airfares which may not be combined with any other promotional offers and are subject to change without notice. During certain peak periods the class of service required for these fares may not be available. In this event, we will offer you the best possible alternative routing or fare. Any changes made to airline tickets once issued will incur a minimum $150.00 per person fee, and may result in a higher airfare. Airline schedules change from time to time. Any additional costs incurred by schedule changes are the responsibility of the passenger.
A Word about Single Supplements
Our published per person prices are applicable only when 2 or more persons travel together in the same party. If you are traveling alone, additional supplements may apply. Details are available upon request.
Included in Tour Prices
Air-inclusive prices include round-trip economy airfare from New York, but exclude applicable US taxes, international departure taxes and fuel surcharges which can range from $350-$850 per person, depending on the routing. (Affordable add-ons are available from most major US cities.) Land only prices do not include internal airfares unless specifically mentioned in the applicable price chart. Accommodations listed in the itinerary may not always be available and we reserve the right to substitute comparable accommodations. The included meals are specified in each itinerary with the notation “BLD” (B=breakfast, L=lunch, D=dinner) and are table d’hôte or buffet. Prices include all entry and park fees, hotel service charges and sightseeing/game drives as specified in each individual itinerary.
Not Included in Tour Prices
Tour prices do not include fees for obtaining passports, visas, inoculations; airfare not specifically mentioned as included; excess baggage fees, trip protection coverage, international airport departure taxes that may not be collected in advance, optional tours, any items of a personal nature such as beverages, laundry, phone calls, cables, or room service; excess mileage carried out at the request of the passenger or any other item not specifically listed in the Tour Features section..
Travel Documents & Health Requirements
All passengers require a passport valid for at least the duration of your trip. In addition, at the time of printing, US citizens require visas for entry into Kenya, Tanzania, Egypt, Zimbabwe and Zambia. Non-US citizens should check with the specific embassies or consulates for their requirements. Visa requirements are subject to change without notice, and we recommend you check with the appropriate embassy or consulate. Passengers are responsible for ensuring they have the correct visas and documents. Malaria is endemic to these regions of Africa and precautions must be taken. We recommend you visit your primary physician or local travel clinic to review any medications or recommended inoculations. Be sure to carry your inoculation certificate with you as proof of inoculations. If you are concerned about taking any medications, check with your physician before you book your trip.
Children are welcome at many camps and lodges throughout Africa. Each lodge and camp has their own policy with respect to the minimum age for children and any applicable price reductions. Our Tour Consultants will be happy to work with you to plan a program suitable for children.
The prices shown in may be updated from time to time. We reserve the right to alter prices should inflation, cost of services, fuel, labor or material, or exchange rates fluctuate.
Changes to the Itinerary
We reserve the right to alter or modify the itinerary of any tour if schedules, security matters and/or events beyond our control make such alteration necessary.
